This privacy policy applies to Pelaxis ("we", "us", "our"), a UK-based software service that helps small businesses manage their online reviews and customer enquiries. This policy explains what data we collect, how we use it, and your rights under UK GDPR.

What data we collect

When you sign up for our service, we collect:

• Your business name, industry, and brand-voice notes
• Your mobile phone number (used to send you approval text messages)
• Your email address (used to send you a weekly summary)
• Your Google Business Profile account information, once you grant us access via Google's OAuth consent screen

When you connect your Google Business Profile, we read:

• New customer reviews posted to your Google Business Profile
• The metadata of those reviews (reviewer name, star rating, date)

We post on your behalf only:

• Replies to Google reviews that you have explicitly approved via one-tap text message or dashboard action

How we use your data

We use the data above solely to operate the service for you:

• To monitor your Google Business Profile for new reviews
• To draft reply suggestions for your approval
• To send you text messages when a new review arrives and when a drafted reply needs your approval
• To send you a weekly summary of activity by email

We do not sell your data. We do not share your data with third parties except:

• Google, when reading or posting reviews on your behalf (governed by the Google API Services User Data Policy and Google's privacy policy)
• Twilio, when sending you text messages (governed by Twilio's privacy policy)
• Resend, when sending you email summaries (governed by Resend's privacy policy)

Data storage and security

Your data is stored on secure servers operated by our infrastructure provider. All data is encrypted in transit (HTTPS) and at rest. Access to your data is restricted to authorised personnel. We retain your data for as long as your account is active. If you cancel your account, your data is deleted within 30 days.

Your rights

Under UK GDPR, you have the right to:

• Access the personal data we hold about you
• Request correction of inaccurate data
• Request deletion of your data
• Object to processing or request restriction of processing
• Request transfer of your data (data portability)
• Withdraw consent at any time

Cookies and tracking

Our service does not use cookies for tracking or advertising. We use a single session cookie to keep you signed in to the operator dashboard. No third-party analytics or advertising cookies are set.

Google API Services User Data Policy

Our use of information received from Google APIs adheres to the Google API Services User Data Policy, including the Limited Use requirements. In particular, we do not use Google user data for any purpose other than providing the review-management service you signed up for. We do not transfer Google user data to third parties except as required to provide the service (e.g. sending you an SMS via Twilio when a new review arrives). We do not use Google user data for advertising.

Changes to this policy

If we change this policy, we will update the date at the top and notify active customers by email at least 14 days before the change takes effect.
